These Terms govern planning and booking services provided by Sea-Gazer Travel LLC (“Sea-Gazer,” “we,” “us”). By inquiring, approving an itinerary, authorizing payment, or booking through Sea-Gazer, you agree to these Terms.

1. Nature of our advisory role
We communicate and coordinate between you and independent third-party suppliers. We do not own or operate those suppliers and do not control their policies, staffing, equipment, schedules, or day-of performance.
Credentials displayed sitewide (including CLIA, IATA authorization via host affiliation, California SOT, and Florida SOT references) identify professional affiliation and licensing where applicable. They do not convert Sea-Gazer into the supplier of record.
2. Your responsibilities
To support accurate planning, you agree to:
- Provide complete and accurate traveler names, dates of birth, contact details, and preferences
- Review all quotes, invoices, confirmations, and documents carefully and promptly
- Make required payments by the due dates shown on Sea-Gazer invoices and supplier schedules
- Obtain and maintain valid passports, visas, ESTAs, health documents, and entry requirements
- Download and complete any supplier-required apps, online check-in, or guest registration
- Advise us of accessibility needs, medical considerations, or special requests as early as possible
Sea-Gazer is not responsible for issues caused by incomplete, late, or inaccurate information you provide.
3. Pricing and availability
Quotes reflect supplier availability and pricing at the time of quotation. Fares, taxes, fees, and inventory can change until a booking is confirmed and paid according to supplier and invoice requirements.
Displayed or discussed rates are not a guarantee of final price until confirmed in writing. Currency conversion, resort fees, port taxes, gratuities, insurance premiums, and optional experiences may be additional unless expressly included.
4. Occupancy, guest count, and accommodations
Before any deposit is paid, the number of guests in your party and your accommodation selection must be confirmed in writing. Staterooms, cabins, hotel rooms, and vacation homes are priced, configured, and often legally limited for a specific guest count.
If your party size or occupancy changes after booking, you must notify Sea-Gazer immediately. Supplier approval, repricing, a mandatory upgrade, or additional guest fees may apply. Sea-Gazer will coordinate changes; you remain responsible for accurate guest counts and for any resulting charges.
- Guest counts you provide at booking must match the travelers who will occupy the accommodation
- Children and infants count toward occupancy unless a supplier explicitly states otherwise in writing
- Day visitors or unregistered overnight guests at rental properties may trigger fees or breach of contract
- Occupancy-related fees are set by the supplier and are your financial responsibility
By authorizing a deposit or accepting a booking confirmation, you acknowledge that you have reviewed and accept these occupancy rules as part of these Terms.
5. Payments
You are responsible for paying all deposits, balances, and fees by the deadlines stated on Sea-Gazer invoices and by each supplier’s payment schedule. You may pay early; you may not pay late without risk of cancellation, price change, or supplier penalties.
- Sea-Gazer professional or planning fees, when charged, are generally non-refundable once work has begun unless we state otherwise in writing
- Supplier deposits, final payments, change fees, and penalties follow the supplier’s rules
- Missed deadlines may result in automatic cancellation by the supplier without further notice from Sea-Gazer

6. Payment authorization and acceptance
When you approve an itinerary, submit a payment, sign or e-sign an authorization, or check an acceptance box on a Sea-Gazer form or invoice, you confirm that:
- You have read these Terms and any linked supplier terms applicable to your booking
- Payment information you provide is authorized for the charges described
- You understand deposits and many travel products may be non-refundable
- You acknowledge Section 4 (Occupancy, guest count, and accommodations), including that guest counts are accurate and that changes may require upgrades or additional fees
These Terms are incorporated by reference into Sea-Gazer payment requests and planning agreements.
7. Cancellations, changes, and refunds
Cancellation or change requests must be submitted to Sea-Gazer in writing (email is acceptable). Refunds, credits, and penalties are controlled by each supplier’s policies and by the fare or rate rules of your booking.
If a supplier issues a refund or credit, processing times and methods are set by that supplier. Sea-Gazer does not guarantee supplier refunds. Change fees, name corrections, and rebooking costs may apply.
8. Travel insurance
We strongly recommend comprehensive travel insurance appropriate to your trip, which may cover trip cancellation or interruption, medical expense, evacuation, baggage delay, and supplier default where available.
If you decline insurance, you accept the financial and logistical risk of cancellation, interruption, medical events, and related losses. Travel insurance is separate from any professional liability coverage maintained by Sea-Gazer.
9. Professional liability (Errors & Omissions)
E&O insurance:
- Does not replace trip travel insurance you purchase for your journey
- Does not guarantee supplier performance, schedules, facilities, or safety
- Does not expand Sea-Gazer’s liability beyond the limits in these Terms
- Does not convert Sea-Gazer into the supplier of record
Coverage details, claims handling, and policy terms are governed by the applicable insurance policy and host-agency arrangements. Client-facing disclosures here are informational and do not create additional contractual payment obligations between you and Sea-Gazer beyond these Terms.
10. Supplier apps and online check-in
Many cruise lines, airlines, resorts, and rental platforms require guests to download an official app and complete online check-in, health questionnaires, or digital registration before travel. You are responsible for completing those steps by each supplier’s deadline. Sea-Gazer can guide you, but we cannot complete secure guest logins that require your personal credentials.
11. Passports, visas, and entry rules
You are solely responsible for valid travel documents and for meeting entry, customs, and health requirements for every destination and transit point. Rules change. Sea-Gazer is not liable for denied boarding, denied entry, or related costs arising from incomplete or invalid documentation.
12. Travel risks and force majeure
Travel involves inherent risks, including illness, injury, weather, political conditions, labor actions, mechanical issues, and supplier disruptions. Events beyond Sea-Gazer’s reasonable control may affect your trip. Sea-Gazer is not responsible for losses arising from such events, though we will assist with rebooking guidance where feasible under supplier rules.
13. Accessibility and special requests
We welcome all travelers and will communicate accessibility needs and special requests to suppliers. We advocate on your behalf; we cannot guarantee that a supplier will grant or maintain any request.
14. Traveler conduct
Suppliers may refuse service for conduct that is unlawful, unsafe, or disruptive. Refunds are not guaranteed if service is refused due to traveler behavior.
15. Limitation of liability
To the fullest extent permitted by law, Sea-Gazer Travel LLC is not liable for:
- Acts, omissions, negligence, or insolvency of third-party suppliers
- Delays, cancellations, itinerary changes, or service failures beyond our control
- Personal injury, property damage, or consequential loss arising from travel or supplier services
- Traveler mistakes, missed departures, or failure to meet document or payment deadlines
Sea-Gazer’s total liability arising from our professional planning services is limited to the amount you paid directly to Sea-Gazer for those advisory or service fees (not including amounts paid to suppliers). Some jurisdictions do not allow certain limitations; in those cases, our liability is limited to the maximum extent permitted by law.
16. Privacy and data use
We use your personal information to plan and book travel and to communicate with you. Information may be shared with suppliers and payment processors as required to complete a booking. See our website privacy practices for additional detail where published.
17. Supplier appendix (illustrative)
Depending on your itinerary, suppliers may include — without limitation — cruise and river brands such as AmaWaterways, Celebrity Cruises, Disney Cruise Line, Margaritaville at Sea, Princess Cruises, Regent Seven Seas, Royal Caribbean, Silversea, Viking, and Virgin Voyages; vacation-home and villa partners; airlines; hotels and resorts; tour and transfer operators; and insurance providers. Each booking is also subject to that supplier’s own terms.
18. Governing law
These Terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to conflict-of-law principles, except where mandatory consumer protections of your state of residence apply.
19. Updates and acceptance
We may update these Terms by publishing a revised version on sea-gazer.com. The “Last Updated” date will change accordingly. Continued use of our planning services after an update constitutes acceptance of the revised Terms for new work and new bookings.
By booking through Sea-Gazer, approving an itinerary, authorizing payment, or submitting an inquiry that leads to booked travel, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
